Creating Contract Rollups

Introduction

Creating a Contract Rollup is a process whereby a customer may take multiple qualifying contracts under their Service Requester Prop and roll them up into one contract for nomination purposes only. This process helps alleviate the hassles of multiple nominations on multiple contracts for gas transportation along the same path and allows customers to manage their capacity more efficiently. This document deals with transportation contract rollups and storage contract rollups.

Customers may roll up several of their qualifying contracts into one contract rollup and designate it as a receipt rollup or a delivery rollup. A receipt rollup requires the receipt meter(s) of the base contracts to be within the same zone. Likewise, a delivery rollup requires the delivery meter(s) of the base contracts to be in the same zone. Regardless of whether the contract rollup is a receipt rollup or a delivery rollup, the meters on the contract rollup will be designated as primary for delivery meters and secondary for receipt meters.

It is not necessary to have qualifying base contracts in existence in order to build a contract rollup. In essence, a contract rollup can be built with no base contracts in it. If a base contract terminates before the master contract rollup, the system will remove the base contract from the master contract when the base contract terminates.

NOTE: Creating a Storage Contract Rollup follows the same procedures for creating a Transportation Contract rollup. Once the master storage contract rollup is created, maintenance is performed in the Storage Master List screen. One of the main differences in the Master Storage List screen is that the user will have to select the Add Service Point button and select the appropriate service point/storage meter combination rather than selecting a zone and a receipt/delivery indicator.

Purpose

The primary purpose for contract rollups is to ease the nomination process. Contract rollups can not be assigned to another party but can be agented. In addition, base contracts that have been rolled up into a master contract rollup can still be assigned to another business party. Meter point amendments on the base contracts are still allowed. Once a base contract is included into a contract rollup, nominations may not be made on the base contract. The system will flag the base contract once it is included into the contract rollup to deny any nominations until the contract has been removed from the contract rollup. In addition, demand charges are billed on the base contract, whereas, commodity charges are billed to the rollup contract.

Navigation

Click the Contracts application + (plus sign) to view the expanded contents. Click the + (plus sign) next to the Contract Maintenance folder; then double-click the Create or Amend Contract subfolder. The Select Contract to Amend screen appears. Next, click the Create Contract button at the bottom of the screen and the Steps to Create a Contract screen appears.

NOTE: For complete details, see "How to Create a Contract". The following are specific steps on creating a contract for Contract Rollup.

I.  How To Create a Contract (for Contract Rollups)

  1. Click the Service Requestor Prop down arrow to open the Company Pick Form screen. Either type in the Service Requester Name, Service Requester, or Service Requester Prop and click the Retrieve button, or scroll down the screen and select the respective company. Click the Accept icon to return to the Create Contract screen. The company information automatically populates the fields.
  2. Select the appropriate Transportation Service Provider from the drop-down menu.
  3. Select the appropriate Type of Service TOS/TOC for the type of contract rollup to be created.
  4. Enter the Effective Date when the contract is to begin. No Thru date will be entered.
  5. If all the information is correct, save the contract rollup by clicking the Save icon. The system will ask you to confirm the request. After the contract has been saved, the system will assign a New Contract number.
  6. Click the Continue icon to proceed to the Contract Attributes.

Contract Attributes Tab

On the Details Tab, go to the center of the screen and select the New File icon, which allows you to enter in a Zone Code and Indicator. The indicator reflects whether you have chosen the contract rollup to be a delivery rollup or a receipt rollup. The Zone Code will correspond with the selected indicator. Prior to saving, review the information on the rest of this screen for accuracy. Click the Save icon to proceed.

Assigned Address Tab

  1. From the Details tab, click to the Assigned Address tab. If a default billing and notices contact address has not already been set-up, then a billing and notices contact address must be supplied by clicking the New icon. A new line appears under the Group Number.
  2. Double-click the box below Group Number. A selection list for notices appears. Select the appropriate contact to return to the Assigned Address screen.
  3. Click the New icon again to repeat the previous procedure to select a billing contact.

Quantity Tab

No quantities or entries should be entered into this screen.

Comments Tab

Enter comments if necessary.

Nonstandard Terms Tab

Enter comments if necessary.

Validation Messages Tab

No quantities or entries should be entered into this screen.

Details Tab

Return to the Details screen by selecting the Details tab. At the Amendment Status box, change Pending to Transmit and save. This action transmits the request.

How To Execute Contract Rollups:

  1. Navigate to the Review/Maintain folder from the Contracts application. Select the contract to be reviewed and continue to the Contract/Amendment Details screen. At this point, the contract should have been reviewed and approved by the Customer Service Representative.
  2. Go to the Amendment Status and change Approve to Execute. Click the Save icon to save and transmit.

II.  How To Manage Rollup Up Contracts (external and internal users)

Navigation

Navigate to the Contracts application and click the + (plus sign) to view the expanded contents. Select the Rollup folder; then click the appropriate Master Contract List subfolder. The Master Contracts List appears.

How To Add Base Contracts to the Contract Rollup

  1. Select the master contract rollup by highlighting the contract. To filter for contracts as of a specific date, enter the date or use the drop-down calendar in the As Of Date field.
  2. To add/delete or perform maintenance on the contract rollup, click on the Base K Maint icon. The Base Contract Maintenance screen appears.
  3. The Base Details tab displays the properties of the selected base contract. To add a base contract to the contract rollup, go to the Add Base K tab, and select the base contract(s) being added. More than one contract may be selected by holding the Ctrl key and selecting additional base contracts. Remember to indicate the Rollup Eff Date. This is the date that the volumes in the base contract will be available in the contract rollup.
  4. Click the Add Base icon. Go to the Add Base Results tab to see that the base contracts were added to the contract rollup. To confirm the addition, click the Save icon.

How To Delete the Base Contracts from the Contract Rollup

  1. Navigate to the appropriate Master Contract List.
  2. Select the appropriate master contract rollup by highlighting the contract. To filter for contracts as of a specific date, enter the date or use the drop-down calendar in the As Of Date field.
  3. To add/delete or perform maintenance on the contract rollup, click the Base K Maint button to display the Base Contract Maintenance screen.
  4. In the Contract Maintenance screen, the Base Details tab displays the properties of the selected base contract. To remove a base contract from the contract rollup, go to the Terminate/Withdraw Base tab and select the base contract(s) to be removed. More than one contract may be selected by holding the Ctrl key and selecting additional base contracts. Remember to indicate the Rollup Term Date. This is the date from which the volumes in the base contract will be removed on the contract rollup. To continue and confirm the request, click the Save icon.
  5. In case a base contract is mistakenly rolled into the Contract Rollup, you may choose to withdraw the base contract from the Contract Rollup. Go to the Terminate/Withdraw Base tab and select the base contract(s) to be withdrawn. Click the Withdraw Base icon to display the Withdraw Base Contract screen. Change the Amend Status field from E to W to withdraw the base contract. Click the Save icon to continue and confirm the request.

How To View All Meter Quantities and Details of the Contract Rollup

From the Master Contract List, select the master contract rollup by highlighting the contract. To filter for contracts as of a specific date, enter the date or use the drop-down calendar in the As Of Date field. Click the Meter TQ Details icon.

Master Contract Meter TQ Details

This screen displays all meters, volumes and total quantities that make up the rollup contract.

How To View the Zone Leg TQ Details of the Contract Rollup

From the Master Contract List, select the master contract rollup by highlighting the contract. To filter for contracts as of a specific date, enter the date or use the drop-down calendar in the As Of Date field. Click the Zone Leg Details icon.
